Privacy policy

Dara is coaching software for hockey clubs. This policy says what personal data Dara holds, why, where it is kept, and what you can ask us to do with it. It covers the app at app.dara.coach and this website.
Who we are
Dara is run by Clinton Sweetnam in Ireland. For anything about your data, email privacy@dara.coach.
Two kinds of data, two roles
Your account is ours to look after. When you sign up we are the controller of your account details: we decide what is collected and why.
Your club’s content is the club’s. The squad list, match video, clips, session plans and presentations belong to the club that created them. For that data the club is the controller and we are its processor: we store it and show it to the people the club allows, and we use it for nothing else. A player who wants to know what their club holds about them should ask the club first; we will help the club answer.
What we hold
- Your account: your name, your email address, and your password, stored only as a one-way hash we cannot read back. Which clubs you belong to, and your role in each.
- Signing in: a session token, so you stay signed in. A session ends after 30 days unused, and after 180 days at most.
- What a club adds: players’ names, shirt numbers and positions, and an email address when a player is invited to the app. Match video, and the clips coaches tag in it, including which players were in each clip. Drills, session plans, tactics, presentations and the club crest.
- What players do with their clips: whether a clip sent to a player has been watched, how often, and the player’s reply to it. Their coaches can see this.
- Ask Dara: what a coach asks the assistant, its replies, and a record of what it read and changed in the club. Only the coach who asked can see a conversation. For each message we also keep a count of its size, for billing, with none of the words in it.
- Running the service: error reports and logs, which record what went wrong and when. Your IP address is used to limit sign-in attempts. Logs carry an account’s id, never its name or email.
This website counts visits with PostHog, in cookieless mode: it stores nothing on your device and never learns who you are. It sees the pages viewed and the links clicked. Your IP address and browser type are turned into a code that changes every day, and the address itself is not kept. It has no cookies and no advertising trackers. The app has no cookies either: it keeps your sign-in, and anything you prepare for offline use, in your browser’s own storage, because it cannot work without it.
Why, and on what basis
- To provide the service you signed up for: your account, and your club’s content (performing our contract with you or your club).
- To keep it secure and working: sign-in limits, logs and error reports (our legitimate interest in a service that is safe and works).
- To learn which pages of this website are read and which links are followed: cookieless visit counts (our legitimate interest in knowing whether the site works).
- To send the emails the service needs, such as a password reset or an invite. We send no marketing email.
We do not sell personal data, show advertising, or use your club’s video or data to train AI models.
Ask Dara, the assistant
Ask Dara is an assistant inside the app for coaches. A free club gets 25 messages to try it, and a paid plan more each month. A coach asks it in plain words to plan a session, find clips or make a deck, and it does that with the same tools the coach has. It runs on Claude, a model made by Anthropic, which is our subprocessor for it.
- What goes to Anthropic: the coach’s message, and the club content the request needs, such as players’ names, shirt numbers and positions, clip notes, drills, session plans, plays, decks and fixtures. Match video, players’ email addresses and passwords never go to it. Nothing goes to it until a coach sends a message.
- What Anthropic does with it: it uses it only to write the reply. Under its commercial terms it does not train its models on it, and it deletes it within 30 days, unless its safety systems flag a message as breaking its usage policy, which it may keep for up to two years, or the law requires it to keep it.
- What we keep: a conversation for 30 days after its last message, then we delete it. Only the coach who had it can see it. The size count for each message we keep for 13 months, as evidence for a bill, and it holds no words.
- Its limits: it can do only what the coach could do on screen. It cannot share anything outside the club, delete anything, or change a deck players can already see.
A coach can also connect an AI app of their own choosing to Dara, from their account settings. That app’s provider then receives what the coach lets it read, under the terms the coach agreed with that provider. A coach can disconnect it at any time.
Children
Clubs film and coach junior players. A club using Dara is responsible for having consent to record and store its players, including consent from a parent or guardian for players under 18. Under-16s need a parent’s or guardian’s consent before they have an account of their own; the club arranges that before it invites them. If you believe a child’s data is held without that consent, email us and we will act on it with the club.
Who can see it
- Inside a club, what each member sees depends on their role. Coaches decide which clips players can see.
- A coach can share a presentation or video by link, optionally with a passcode. Anyone with the link can view it until the coach revokes it.
- The providers below, only to run the service, under contracts that bind them to protect it.
- An AI app a coach chooses to connect, with what that coach lets it read.
- Nobody else, unless the law requires it.
Where it is kept
Your club’s data and match video are stored in the EU. We use these providers:
| Provider | What for | Where |
|---|---|---|
| Microsoft Azure | Runs the app and stores match video and club crests | Netherlands (EU) |
| Neon | The database: accounts, clubs and everything coaches create | Frankfurt (EU) |
| Resend | Sends password-reset and invite emails | Ireland (EU) |
| Grafana Labs | Error reports and service logs, so we can fix what breaks | London (UK) |
| PostHog | Counts visits to this website and which links are clicked, without cookies | Frankfurt (EU) |
| Stripe (Link) | Sells the paid plans as seller of record: payment, VAT and receipts. We never see your card number | EU and US |
| Anthropic | Runs Ask Dara, the assistant in the app, on its Claude models. It reads what a coach’s request needs and writes the reply | United States, and other countries where Anthropic runs its models |
The UK is recognised by the EU as protecting personal data adequately. Where a provider is based outside the EEA, or its own staff or subprocessors may access data from outside it, the transfer is covered by the EU’s standard contractual clauses or the EU-US Data Privacy Framework. For Anthropic, it is the standard contractual clauses in Anthropic’s data processing addendum.
How long we keep it
- Your account, for as long as you keep it. Ask us to delete it and we will within one month.
- Club content, for as long as the club keeps it. We never delete a club’s footage on a timer, and never because a plan lapses.
- A video a coach deletes is hidden at once and can still be restored by us. If you want it erased permanently, email us and we will.
- Logs and error reports, for up to 30 days.
- An Ask Dara conversation, for 30 days after its last message. The count of each message’s size, with no words in it, for 13 months.
Your rights
You can ask for a copy of your data, ask us to correct it or delete it, object to how we use it, restrict it, or have it in a form you can take elsewhere. Email privacy@dara.coach and we will reply within one month. For data your club holds about you, we will pass your request to the club and help it answer.
If you are not happy with our answer, you can complain to the Data Protection Commission in Ireland at dataprotection.ie, or to the regulator where you live.
Changes
If this policy changes in a way that matters, we will say so in the app before the change takes effect. The date at the top is when it last changed.
